Most accounts don't have a pipeline problem — they have a "too many pipelines, not enough stages" problem. Here's how we think about it on every project.
A single sales pipeline from new lead to closed deal is enough for most businesses. Resist adding a second one until the first is running smoothly.
Only split into a second pipeline when a genuinely different person or team owns that stage of work, like onboarding or fulfillment.
The moment a deal moves between people is exactly where things get dropped. That's where your automation triggers should live first.
No. GoHighLevel is the software platform itself — the CRM, funnel builder, and automation engine, built and maintained by HighLevel, Inc. As the creators, they maintain the GoHighLevel Knowledge Base. GoHighLevel360 is an independent implementation partner — we're the system finishers, which is why our tools live here in the GoHighLevel360 Planning Center, turning the raw platform into something that actually runs and performs for a specific business. Think of it like a car: GoHighLevel provides the frame — the parts, not yet assembled, nothing connected or running. GoHighLevel360 builds the engine, the drivetrain, and everything else it takes to turn that frame into a car that actually runs for your business.
Most businesses only need one pipeline to start: a single sales pipeline that tracks a lead from first contact to closed deal. Add a second pipeline only when you have a genuinely separate process, such as onboarding or fulfillment, that involves different people and different stages than your sales process.
Each stage should represent a real decision point where the deal either moves forward or doesn't, and ideally where responsibility changes hands. A good starting point is 4 to 7 stages: more than that usually means two stages could be combined, and fewer often hides important detail from your reporting.
At minimum, notify the right team member the moment a deal enters a stage, and set a no-activity alert if the deal sits untouched for a few days. More advanced setups can also update tags, assign tasks, or trigger the next follow-up message automatically based on the stage a deal is in.
Deals usually fall through because no one is notified when a deal goes quiet, or because the pipeline has too many stages for anyone to manage consistently. Adding a stale-deal alert and simplifying the pipeline to a handful of clear stages fixes most of this without adding extra software.
