Most businesses only need one pipeline to start: a single sales pipeline that tracks a lead from first contact to closed deal. Add a second pipeline only when you have a genuinely separate process, such as onboarding or fulfillment, that involves different people and different stages than your sales process.
Each stage should represent a real decision point where the deal either moves forward or doesn't, and ideally where responsibility changes hands. A good starting point is 4 to 7 stages: more than that usually means two stages could be combined, and fewer often hides important detail from your reporting.
