Start Your Day in Conversations (Inbox)

Purpose: Make sure no new inbound messages or hot leads are waiting.

Daily actions:

  • Open the Conversations tab.
  • Filter for unread or recent messages.
  • Reply to all new inbound messages (SMS, email, chat, social).
  • If a conversation requires more than one touch, create a task or add a note so you don't forget the next step.

Checklist:

  • All new messages replied to or acknowledged.
  • Tasks created for any conversation that needs follow up later.

Review Your Tasks and To Dos

Purpose: Make sure you complete yesterday's promises before chasing new opportunities.

Daily actions:

  • Go to your Tasks view.
  • Filter by tasks due today and overdue.
  • Complete anything that can be done quickly.
  • Reschedule tasks that need more time, but don't delete them unless they're no longer relevant.
  • Add tasks directly from contact records during calls and conversations.

Checklist:

  • All overdue tasks handled or rescheduled.
  • Today's tasks reviewed and prioritized.
  • New tasks added where needed (especially after calls).

Clean and Update Your Pipeline

Purpose: Keep your pipeline stages accurate so reporting and follow ups are reliable.

Daily actions:

  • Open your main Sales pipeline.
  • Filter to show your assigned deals.
  • For each deal: update stage, add notes, adjust forecast value and expected close date.
  • Move clearly dead deals to Closed Lost so they don't clog your view.

Checklist:

  • All active deals are in the correct stage.
  • Each deal has a clear next action and task.
  • Dead deals moved to Closed Lost.

Confirm Today's Calendar and Upcoming Calls

Purpose: Arrive prepared and avoid surprises.

Daily actions:

  • Open your Calendar inside GoHighLevel.
  • Review today's and tomorrow's appointments.
  • For each upcoming call: open the contact record, skim notes, confirm meeting link.
  • Identify hot leads in the pipeline and reach out to move them toward booking.

Checklist:

  • All calls for today reviewed and understood.
  • No conflicting or duplicate appointments.
  • Follow ups scheduled for high priority leads without appointments.

Batch Your Outbound Follow Up

Purpose: Move deals forward instead of waiting passively.

Daily actions:

  • In your pipeline, filter for deals in middle stages (Contacted/Qualifying, Call Completed, Proposal Sent).
  • Prioritize opportunities with upcoming deadlines and deals that haven't been touched in several days.
  • Send a focused batch of follow up messages (calls, SMS, email) and log each attempt.

Checklist:

  • A meaningful block of time spent on outbound follow up.
  • Notes added for each outreach.
  • Tasks created for next steps after conversations.

Log Notes and Next Steps After Every Call

Purpose: Don't rely on memory. Your future self (and teammates) will thank you.

Daily actions:

  • Open the contact and opportunity.
  • Add a quick note with key pain points, objections raised, and decisions made.
  • Update the pipeline stage based on outcome.
  • Create a task for the next step (send proposal, follow up in 3 days, schedule next call, etc.).
  • If relevant, adjust tags and fields (e.g., interest level, budget, timeline).

Checklist:

  • Every call has a note.
  • Every call resulted in a stage update or clear task.
  • No calls end without a defined next step.

End of Day Wrap Up

Purpose: End the day with a clean system, so tomorrow starts strong.

Daily actions:

  • Check your Conversations one more time for anything new.
  • Review your pipeline for any deals you forgot to update.
  • Look at your tasks and push anything unfinished to a realistic date/time.
  • Make a quick list of top priorities for tomorrow.

Checklist:

  • Inbox clear (or every conversation has a plan).
  • Pipeline reflects reality as of end of day.
  • Tasks updated and tomorrow's focus is clear.
